The Colombo Plan Staff College (CPSC) is an inter-governmental human resources development organization mandated to assist in the improvement of technical and vocational education and training (TVET) systems of its member countries in Asia and the Pacific region through training, research, consultancy and information service. The active member countries of CPSC are: Afghanistan, Bangladesh, Bhutan, Fiji, India, Malaysia, Maldives, Mongolia, Union of Myanmar, Nepal, Islamic Republic of Pakistan, Papua New Guinea, the Philippines, Singapore, Sri Lanka and Thailand.

Perform secretarial, administrative and office support services for various activities of the Office of the Director General. Coordinate distribution of GB meeting related documents, database and records management, and other administrative functions.
- Bachelor/College Degree preferably in Administration / Management / Education or any related degree
- Male or Female, 30 years old and below
- Preferably with one (1) year related experience
- Must have good English communication and excellent interpersonal skills
- Proficient in MS Office Application
- Personable, flexible, trainable and can work with minimum supervision
- Adaptable to multicultural working environment
- Willing to work extended hours
Duties and Responsibilities:
Assist in preparing letter/memo for internal and external client to ensure, on time dissemination of information, efficient response to inquiry by drafting simple and/or complex letter in coordination with the Executive Secretary.
Plan and prepare flight itinerary of Director General in coordination with the Executive Secretary and ensure economical purchase of air ticket per CPSC practices, to be able to reach the meeting venue on the required time.
Maintain meeting calendar, in order to process meeting request and/or schedule appointment efficiently, through constant update of meeting planner and coordination with the Executive Secretary.
Manage ODG records and files to ensure efficient filing system for easy retrieval by observing CPSC Quality Management System.
Manage online mailing list, for effective dissemination of news/updates regarding CPSC event and activities by gathering updated contact information, encoding additional/new contacts, performing contact verification.
Assemble Governing Board and Standing Committee documents and facilitate dissemination to ensure on time delivery of meeting agenda/documents by arranging the delivery schedule and coordination with General Services Division to facilitate delivery.
Monitor professional staff visa’s validity to ensure legality of exit and re-entry in the Philippines before and after each program coordination in the member country by monitoring and facilitation of Philippine 9e2 visa application/renewal whenever necessary.
Perform tasks as may be assigned from time to time.
